POSITION: Assistant for Human Resources & Administration

MTC has an exciting opportunity for an Assistant for Human Resources and Administration. The Assistant for Human Resources & Administration will provide administrative support to the Director of Human Resources and will coordinate a full range of human resources activity and support services. In this highly visible role, the Assistant will work collaboratively with all divisions and staff within the organization.
Responsibilities:
The Assistant for Human Resources & Administration will perform the following task:
- Provide administrative support to the Director of Human Resources to include calendar maintenance, schedule, track expenses, create documents, draft letters, coordinate interviews and oversee logistics for company meetings
- Serve as the primary receptionist for the Kariotis Building
- Greet visitors and direct to the appropriate campus location
- Provide a customer-centered focus and efficient administrative support services to all internal and external customers
- Answer a multi-line telephone system with a high level of professionalism
- Properly process paperwork, invoices, and contracts and provide documentation to the accounting departments
- Provide administrative support including database management and general word processing to administration and finance department
- Participate in mass mailings and other special projects as requested
- Review incoming mail routing to the appropriate recipients
- Prepare outgoing mail and correspondence including e-mail and faxes
- File correspondence and other records; organize and maintain filing systems as requested
- In collaboration with the Director of Human Resources:
- Prepare and post job postings on the internal bulletin boards, electronic boards, and other on-line posting sites.
- Research, recommend and coordinate placement of positions in newspapers, publications and electronic media.
- Maintain and update applicant tracking and candidate interview files throughout the interview/hiring process
- Schedule applicants in the interview process; coordinate new hire orientation schedules
- Respond to candidates via post card, electronic mail and/or personal letter
- Maintain employee personnel files
- Coordinate company sponsored events and activities
- Coordinate catering requests and manage paperwork
- Order office supplies, coffee and related general supplies
- Perform additional duties as may be assigned from time to time
Requirements:
The successful candidate will have a bachelor’s degree in business administration or related field and two or more years of work experience in a professional office environment. The following skills and abilities will be critical to your success:
- Demonstrated professionalism and customer service focus
- Demonstrated ability to take initiative and to follow through on detailed process and activity
- Strong administrative assistant skills; ability to manage calendars and schedule for senior manager
- Proficient PC skills and thorough knowledge of PC applications, e.g., Excel, Word, databases, E-mail and Internet
- Strong interpersonal skills; verbal and written communication skills
- Ability to recognize sensitive material and maintain a high degree of confidentiality
- Demonstrated ability to prioritize tasks and manage multiple priorities effectively
- Demonstrated ability to interact effectively with co-workers, candidates, clients, stakeholders, constituents, executives and members of the Board of Directors
- Ability to operate a multi-line telephone system
- Working knowledge of general office equipment
